1. Purpose
This policy outlines the procedures for exam retakes, retake fees, and the conditions under which a student may request a waiver due to exceptional circumstances. It aims to maintain academic standards while offering fair support to students facing genuine hardships.
2. Scope
This policy applies to all students enrolled in AIES programs and to all AIES-approved centers involved in the administration of student assessments and support services.
3. Policy Statement
Students who do not pass a course exam are required to retake the exam and pay a standard retake fee of $25. However, this fee may vary if course discounts or special offers apply. Students should check with their center or contact AIES directly for the most up-to-date retake fee information.
In cases where a student believes their exam performance was significantly affected by circumstances beyond their control, they may request a waiver of the retake fee. Acceptable reasons for such requests include, but are not limited to:
Medical emergencies or illness
Death of an immediate family member
Documented technical or logistical issues during an online exam
Other serious and unforeseen events that disrupted exam preparation or performance
4. Responsibilities
Student: Must submit a written request for a fee waiver within five (5) calendar days of receiving their exam result. The request must include clear and valid supporting evidence.
Center: Must review the student’s request and documentation, assess the validity of the claim, and decide whether to support it. If approved, the center will forward the case with a recommendation to AIES for final review.
AIES: Will review the recommendation and documentation, make the final decision, and notify both the student and center of the outcome.
5. Supporting Documentation
Students must provide formal documentation to support their waiver request. Acceptable evidence includes:
Medical certificates or hospital records
Death certificate or funeral program
Official incident or reports
Screenshots or logs verifying technical difficulties
Any other credible documentation relevant to the case
6. Second Exam Failure
If a student fails the same course exam a second time, they must re-enroll in the course, repeat all course activities, and pay the full course fee again. No further retake attempts will be allowed without completing the course in full.
7. Decision and Appeal
AIES’s decision on a fee waiver request is final. However, if a student believes their request was unfairly denied, they may submit an appeal within seven (7) calendar days, along with any new or additional supporting evidence for reconsideration.
8. Policy Review and Updates
This policy will be reviewed periodically and may be updated to reflect academic changes, administrative needs, or student support improvements.
